This Privacy Policy explains how BizXLabs LLC (“BizXLabs”, “we”, “us”, “our”) collects, uses, shares and protects personal information when you visit bizxlabs.com, contact us, apply to work with us, or become a client. We keep it plain: what we collect, why, who sees it, and what you can do about it.
01Who we are
BizXLabs LLC is a Wyoming limited liability company with its registered office at 30 N Gould St Ste R, Sheridan, WY 82801, USA. We design, build and support AI solutions, custom software, websites and apps, and growth marketing for businesses.
For the personal information described in this policy, BizXLabs is the party that decides how and why it is used (the “controller”). You can reach us about privacy at any time at hello@bizxlabs.com.
02What this policy covers
This policy covers personal information we handle for our own business, including when you:
- visit bizxlabs.com and its pages;
- contact us by our contact form, email, phone or WhatsApp;
- book or attend a discovery call, or receive a proposal from us;
- use our client portal, billing pages or other BizXLabs accounts as a client; or
- apply to join our team or work with us as a contractor.
Data we process for our clients. When we build and run solutions for a client — for example an AI solution that talks to that client's customers — we handle that data on the client's behalf and under the client's instructions. In that case the client is responsible for it, and our handling is governed by our agreement with them, including our Data Processing Addendum. If you are a customer of one of our clients, please contact that business about your information.
03Information we collect
Information you give us
- Contact details: your name, business name, job title, email address, and phone or WhatsApp number.
- Enquiry details: what you tell us about your business, your goals and what you are interested in.
- Conversations: the content of emails, WhatsApp messages and call notes between you and us.
- Client account information: account logins, billing contacts, signed agreements and documents you share with us.
- Applicant information: if you apply to work with us — your CV, portfolio, skills, country, availability and anything else you choose to send.
Information collected automatically
- Technical data: IP address, browser and device type, pages visited, referring page and the time of your visit, recorded by our servers to keep the site secure and working.
- Measurement data: if you accept analytics cookies, or arrive from one of our ads, information about how you reached and used the site (see “Cookies and similar technologies”).
Information from others
- Lead details passed to us by advertising platforms when you submit a form in an ad (for example a Meta lead form), and basic profile information WhatsApp shares with us when you message us (such as your WhatsApp display name).
- Payment confirmations from our payment processor. We do not receive or store your full card number.
04How we use your information
We use personal information to:
- reply to your enquiry, understand your needs and arrange calls;
- prepare proposals and agreements, and deliver, support and improve our services;
- manage client accounts, invoices and payments;
- review applications from people who want to work with us;
- send you updates about your project or account, and — only where allowed — occasional information about our services, which you can opt out of at any time;
- measure and improve our website and advertising;
- keep our systems secure and prevent fraud or misuse; and
- meet our legal, tax and accounting obligations.
We do not sell your personal information, and we do not use it to make decisions about you that have legal or similarly significant effects based solely on automated processing.
05Our legal bases
Where privacy laws such as the EU or UK GDPR apply, we rely on:
- Contract: to take steps you request before entering an agreement and to perform our agreement with you;
- Legitimate interests: to run, secure and grow our business — for example replying to enquiries, following up on a conversation you started, and improving our website — balanced against your rights;
- Consent: where required, for example certain cookies or marketing messages. You can withdraw consent at any time; and
- Legal obligation: to keep records required by law.
06WhatsApp and automated assistance
If you message us on WhatsApp, your messages are delivered through the WhatsApp Business Platform provided by Meta. Meta's own terms and privacy policy apply to your use of WhatsApp.
To reply quickly at any hour, conversations with us may be handled by our team together with automated tools, including AI-based services. These help us answer questions, understand your needs, qualify your enquiry and arrange calls. Our team can review any conversation and step in at any time. If you would rather speak only with a member of our team, just say so in the chat.
If you give us your WhatsApp number, for example in our contact form, we may message you on WhatsApp about your enquiry. You can stop WhatsApp messages from us at any time by replying STOP.
08International transfers
We are based in the United States and work with clients and team members in several countries. Your information may therefore be processed in the United States and other countries whose data-protection laws may differ from yours. Where required, we use appropriate safeguards for these transfers, such as standard contractual clauses.
09How long we keep it
- Enquiries and leads that do not become clients: up to 24 months after our last contact, then deleted or anonymised.
- Client records: for the duration of our relationship and as long afterwards as needed for legal, tax and accounting purposes — usually up to 7 years.
- Applications: up to 12 months after a decision, unless you join us or ask us to delete it sooner.
- Server logs: for a short period, usually no more than 90 days, unless needed to investigate a security issue.
10How we protect it
We use reasonable technical and organisational measures to protect personal information, including encrypted connections (HTTPS), access controls, and encryption of sensitive documents at rest. Access is limited to people who need it to do their work. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we take it seriously and will notify you where the law requires if a breach affects you.
11Your rights and choices
Depending on where you live, you may have the right to:
- access the personal information we hold about you and get a copy;
- correct information that is wrong or incomplete;
- ask us to delete it;
- object to or restrict how we use it, including for direct marketing;
- withdraw consent where we rely on it; and
- receive your information in a portable format.
To make a request, email hello@bizxlabs.com. We may need to confirm your identity first, and we will reply within the time the law requires — usually within 30 days. You also have the right to complain to your local data-protection authority.
US state privacy rights. Residents of some US states, such as California, have rights to know, delete and correct personal information and to opt out of its “sale” or “sharing” for targeted advertising. We do not sell personal information. If we use advertising measurement tools that may count as “sharing”, you can opt out by emailing us or by using your browser's Global Privacy Control signal, which we will honour. We will not discriminate against you for using these rights.
13Children
Our website and services are for businesses and are not directed at children under 16. We do not knowingly collect personal information from children. If you believe a child has given us personal information, contact us and we will delete it.
14Other websites
Our site may link to other websites and services, such as WhatsApp, payment pages or social networks. Their own privacy policies apply, and we are not responsible for how they handle your information.
15Changes to this policy
We may update this policy from time to time. When we do, we will change the “Last updated” date at the top of this page, and for significant changes we will take reasonable steps to let you know.
